Working as an Office Manager at 4PS
You will be part of a collaborative and supportive team, working closely with the HR/Opetations Director, Finance, Marketing and external partners. In this broad role, you serve as the central point of coordination for office management, administration and HR operations. You ensure the workplace is wellorganised, administrative processes run smoothly and employee records and HR systems remain accurate and up to date.
Beyond the core HR and administrative responsibilities, your role is varied and impactful. You coordinate office facilities, support payroll and pension administration, and organise internal and external events, including team lunches and business travel. You contribute to our vitality programme, 4PS Life, support marketing initiatives and take part in projects related to Diversity & Inclusion and AI across the organisation.
Alongside your daytoday responsibilities, you will contribute to projects and people initiatives aimed at improving processes and enhancing the employee experience. We are seeking a locally based colleague who enjoys being onsite with the team, with occasional flexibility to work remotely.
Your key tasks
- Coordinating office facilities
- Supporting payroll and pension administration
- Managing employee data and maintaining HR systems
- Coordinating onboarding and offboarding
- Assisting with HR reporting and internal communication
- Streamlining office procedures and managing supplier relationships
- Organising events, planning team lunches and arranging business trips
- Working on and monitoring 4PS Life, our vitality programme
- Administrative experience, ideally with payroll
- Strong organisational skills and attention to detail
- Confident with HR systems (e.g., Workday, SharePoint) and Excel
- Basic knowledge of UK employment law and pensions, or willingness to learn
- Proactive, solution‑focused and service‑minded attitude
- Reliable in handling confidential information
- Strong English communication skills
- Approachable team player with a can‑do mentality
